# Gemini small-business hub: which account keeps receipts private

> Google's new Gemini tools read receipts and Xero books. On a personal account, people may review chats; on Workspace, they stay in house.

## The short read

**Gemini's new business tools take your receipts, but on a personal account some chats may go to human reviewers.**

- Google announced a Gemini business page with finance skills and apps such as Shopify and Xero, rolling out to all Gemini users soon.

### What you can do with this

> Before you upload receipts or connect Xero, open Gemini under a Google Workspace account, or turn Keep Activity off on a personal one. Your books then stay out of model training.

Google on Tuesday [announced](https://blog.google/innovation-and-ai/products/gemini-app/new-tools-small-business-owners/) a business page inside the Gemini app that turns receipts and purchase records into financial charts and connects to apps such as Shopify and Xero. It reaches "all Gemini app users" in the coming days. The catch for an owner is the account: on a personal Google account, those receipts fall under consumer terms that allow human review and model training.

Below: what Google shipped, why the account type matters, and the two settings to check before uploading your books.

## What Google shipped on Tuesday

The post, by Vishnu Sivaji, senior director for the Gemini app, describes a "new business landing page designed to help small business owners streamline their daily tasks." It has three parts.

- **Brand:** owners upload their website or a brand kit with fonts and color palettes, and Gemini keeps new images in that style with Nano Banana 2.1, which Google calls its latest image model.
- **Finance:** Gemini turns "messy spreadsheets" and receipts into "clear financial graphics and interactive models."
- **Connected apps:** three Google services, among them Workspace, plus seven outside apps such as Shopify and Xero.

Google lists no price. Larger firms that want "centralized administrative controls" are pointed to [Gemini Enterprise](https://cloud.google.com/gemini-enterprise).

Xero confirmed its part three days earlier. Its [post](https://blog.xero.com/news-events/xero-gemini-integration/) says the app "brings live Xero data into your Gemini conversations": cash position and profit as well as invoices and bills. Anything that changes the books, such as issuing an invoice, needs the user to "review and confirm it before anything happens."

## Why the account decides who can read your books

Gemini runs under two sets of data terms, and Google's announcement mentions neither.

On a personal account, the [Gemini Apps Privacy Hub](https://support.google.com/gemini/answer/13594961) says: "A subset of chats are reviewed by human reviewers." Google uses activity to improve its services, "including training generative AI models," unless you turn the Keep Activity setting off. "Reviewed chats are retained for up to three years." Activity is otherwise auto-deleted after 18 months by default.

On a qualifying Google Workspace edition, the [Workspace privacy hub](https://knowledge.workspace.google.com/admin/gemini/generative-ai-in-google-workspace-privacy-hub) says chats and uploaded files "won't be reviewed by human reviewers or otherwise used to train generative AI models without your permission." It adds: "Your interactions with Gemini stay within your organization." An admin can also set how long chats are kept, from 3 to 36 months.

Xero says "Xero data isn't used to train Google Gemini models." That covers the live data the connector pulls. A receipt you photograph and upload yourself is a different matter, governed by your Gemini account terms. And disconnecting a connected app, the consumer privacy hub notes, does not delete data already saved in your Gemini activity.

We think this gap matters more than any single feature. Google built the page for "all Gemini app users," personal accounts included, not only Workspace customers, and its post does not say which terms apply.

## What to do before you connect anything

1. **Check which account you are in.** Open Gemini with your Workspace account if your business has one. Most Workspace editions now include the Gemini app as a core service.
2. **On a personal account, turn Keep Activity off** before uploading receipts or connecting Xero. Future chats are then not used for training unless you send feedback, and are kept for 72 hours.
3. **Upload copies with less in them.** Cut card numbers and customer names from receipts and spreadsheets when the chart does not need them.
4. **In Workspace, set retention.** An admin can choose 3 months instead of the default 18.

The trade-off is real. With Keep Activity off, chats are kept for only 72 hours, so a finance model you build today will not wait for you next month. And Xero's planned scheduled tasks, such as daily cash summaries, are "coming soon" and its footnote excludes the EEA and the UK, as well as Switzerland and Nigeria.
